This guide follows the current shopping-agent stages and avoids promising a universal return window or refund speed. Seller eligibility, warehouse status, service charges and payment timing must be confirmed in the live order.
Identify who controls the problem
An ACBuy order can involve a third-party seller, purchasing agent, warehouse, international logistics provider and destination carrier. A wrong color sent to the warehouse is different from packing damage, a lost international parcel or a last-mile delivery problem. Start by naming the last stage where the order was correct and the first stage where evidence shows a problem. This directs the request to the party and policy that can actually address it.
Do not compress every issue into the word refund. The appropriate remedy may be seller return, exchange, missing-item check, added inspection, parcel inquiry, carrier claim or account correction. Review the current order and parcel records before choosing. A precise stage description helps support evaluate the case and prevents a product-quality dispute from being confused with a payment or tracking issue. Keep conclusions proportional to what photographs, scans and transaction records can prove.
Inspect while the item is still at the warehouse
The warehouse is the most useful point for detecting seller mistakes because the physical item has arrived but has not yet been sent internationally. Compare all QC photographs with the saved product URL, selected variant, quantity and order remarks. Look for visible damage, incorrect model, color, size label, missing pieces or a measurement that conflicts with the listing. Save the relevant images and mark the exact discrepancy rather than sending a broad statement that quality is bad.
If the default views cannot prove the issue, check current options for additional photographs or measurements before deciding. A return request based on an angle that is not visible may be weaker than one supported by a clear focused image. Do not submit the product in an international parcel while its status is disputed. Once it leaves the warehouse, seller return may become unavailable or economically impractical, and the evidence chain becomes more complicated.
- Save the exact variant and seller record.
- Mark the discrepancy in a warehouse image.
- Keep the item out of parcel submission.
- Check the live action deadline immediately.
Check seller eligibility and current deadlines
Because the product comes from a third-party seller, return or exchange eligibility can depend on seller terms, product category, item condition, reason and timing. Some products may have limited after-sales options. The platform interface and order status can change, so do not rely on a universal deadline copied from an old guide. Open the current order, read the available action and ask support when the option or consequence is unclear.
Act promptly but do not submit an incomplete claim. Gather the source choice, order identifier, warehouse evidence and desired remedy first. If a seller return involves domestic freight or another charge, include it in the decision. A low-cost item can be eligible to return yet uneconomic after fees; a replacement may extend storage and parcel timing. Eligibility answers whether an action is available, while the cost-and-time comparison answers whether it is sensible.
Use the date shown on the live order. Begin the evidence review on arrival instead of waiting until the planned parcel is ready.
Write a support request that can be decided
A clear request contains the order number, source item, chosen variant, warehouse arrival date, observed problem, supporting image and requested result. Use neutral factual language. For example, identify that the order selected a black size medium item while the warehouse label shows another size, and attach both records. Avoid adding unrelated complaints or claims about hidden quality that a photograph cannot show. A decision-ready request reduces back-and-forth during a limited action period.
Keep communication inside official channels and preserve timestamps. If support asks for another image or seller confirmation, record when it was supplied. Do not send passwords, verification codes or full payment credentials. If the answer denies the request, ask which current seller or platform term controls the result and what options remain. The goal is not to create the longest message; it is to make the transaction, evidence and remedy easy to match.
Distinguish return, exchange and refund paths
A return sends the item back through the domestic process when permitted. An exchange can add another seller shipment and warehouse inspection cycle. A refund describes money returned after an approved cancellation or return, but the value may first appear in an account balance depending on the original workflow. These paths have different timing and costs. Confirm what will happen to the physical item, who pays domestic delivery and where funds will be credited before accepting a resolution.
If an exchange is selected, keep the first and replacement records separate and repeat QC on the new arrival. If a return is selected, follow its status until seller receipt and resolution. Do not assume approval means money has already reached the original payment method. A clear ledger should show requested amount, approved amount, deductions, account credit date and any later withdrawal or payment reversal. This prevents an in-progress return from being mislabeled as a missing refund.
Reconcile the refund across currencies and balances
The product payment, account balance and original billing method may use different currencies or conversion steps. Record the original transaction and compare the refund in the same stage first. A returned product amount may not include domestic delivery, optional services or payment effects unless current terms say so. Exchange rates can also make the amount visible on a bank statement differ from a remembered estimate. Use actual transaction records rather than a search-engine conversion.
If funds return to an ACBuy balance, decide whether they will be used for another verified order or withdrawn through an available method. Avoid immediately spending the credit before confirming that every disputed line is resolved. When contacting support about a mismatch, identify the order, approved refund, credited amount and dates. Do not publish private payment details. A redacted ledger is enough to show a numerical discrepancy without exposing account security.
Handle problems discovered after delivery
If damage, loss or substitution is noticed after international delivery, preserve the exterior package, labels, unboxing sequence and product condition. Compare the delivered contents with the parcel record and warehouse evidence. This can help distinguish a pre-existing seller issue from warehouse packing, customs inspection or transit damage, although the images may not prove every cause. Report through the current applicable channel promptly and follow its evidence requirements.
After-sales options after delivery may differ materially from warehouse-stage seller returns. International return shipping can exceed product value, and carrier claims can have strict time or packaging requirements. Do not promise a particular outcome. Instead document the event, requested remedy, responses and final amount. Use the result to improve the next order: earlier QC, better packaging, a different parcel grouping or avoiding a seller whose record did not match the received product.
